Context:
Operational in Indonesia for more than 40 years, IOM Indonesia is one of the largest IOM missions in the world working on a wide range of activities in partnership with the Government of Indonesia, civil society, private sector actors, migrants and communities. IOM Indonesia is engaged in several thematic areas, including: Counter-Trafficking/Labour Mobility and Human Development (CT/LMHD), Disasters, Climate and Resilience (DCR), Immigration and Border Management (IBM), Migrant Assistance, Migration Health, and Resettlement and Voluntary Returns.
The Resources Management Unit will contribute to the monitoring and supporting the budgetary financial, human resources and other administrative functions to ensure quality, effective and efficient resources management of the Country Office. Under the guidance and direct supervision of the Senior Administrative and Compliance Assistant (SACA) and the overall supervision of the Senior Resource Management Officer, the incumbent will assist in the Compliance and Contract Administration unit. In particular, he/she will:
Responsibilities and Accountabilities:
Provide administrative support in legal contract administration process in Mission
Assist SAAC in coordinating with contract administration focal points based in sub-offices and other units.
Assist in maintaining and updating the legal contract database, ensure that the required documents are properly archived in system in timely basis.
Monitor contract expiry date update the status in system and send reminders to respective focal points as needed to follow up on the progress and for renewal process.
Coordinate with staff member and relevant units to facilitate compliance with document archiving procedures. Uphold the standardization of filing system including naming convention for folders.
Assist in maintaining Note to File database in Mission.
Provide any other clerical assistance (drafting letters of correspondence, meeting minutes, talking points, etc.) as necessary.
Perform such other related duties as may be assigned.
Required Qualifications and Experience:
Education
- Bachelor’s degree from an accredited academic institution, preferably in Administration, Legal, IT/Database or relevant field of expertise, with minimum one year of relevant working experience, or;
- Completed High School degree from an accredited academic institution, with minimum three years of relevant working experience.
Experience
- Have good knowledge of, and experience in administration and operational of project implementation.
- Willingness to travel.
- Familiarity with IOM working or other UN agencies environment is a distinct advantage.
Skills
- Proficient in computer applications
- Good written and spoken communications skills,
- Good interpersonal skills, high loyalty, ability to work in a multi – cultural environment and good working in team.
- Ability to maintain record (reports, data, etc.) and to analyse and interpret source information and data.
- High level of computer literacy is required.
- Personal commitment, efficiency, flexibility, drive for results, respect for diversity and creative thinking.
Languages:
Fluency in English and Bahasa Indonesia both written and spoken.
