Context:
Operational in Indonesia for more than 40 years, IOM Indonesia is one of the largest IOM missions in the world working on a wide range of activities in partnership with the Government of Indonesia, civil society, private sector actors, migrants and communities. IOM Indonesia is engaged in several thematic areas, including: Counter-Trafficking/Labour Mobility and Human Development (CT/LMHD), Disasters, Climate and Resilience (DCR), Immigration and Border Management (IBM), Migrant Assistance, Migration Health, and Resettlement and Voluntary Returns.
The Resources Management Unit will contribute to the monitoring and supporting the budgetary financial, human resources and other administrative functions to ensure quality, effective and efficient resources management of the Country Office. Under the overall guidance of the Senior Resources Management Officer and the direct supervision of the National Human Resources Officer, the incumbent will provide assistance for non-staff recruitment administration and recruitment database maintenance.
Responsibilities and Accountabilities
Provide general assistance in recruitment processes of non-staff (hourly and internship) including but not limited to circulation of vacancy announcements, interview arrangements, preparation of materials necessary for the interviews and technical test, support with reference checks, and conducting PSEA clearance check through the applet as well as sending out messages to candidates, etc;
Under the guidance of HR Assistant III perform personnel administration role in PRISM HR paying special attention to data consistency and accuracy for new hire, contract extension and separation of non-staff (hourly and internship);
Input and Update to maintain electronic and physical archiving systems in the unit including personnel files of non-staff (hourly and internship) with all supporting documentation, recruitment files referring to Mission HR Efilling SOP;
Prepare draft of non-staff new hire announcement on monthly basis and update payroll focal point on relevant documents;
Under the guidance of National Human Resources Officer, liaise with university administration contact person on the administration requirements for internship recruitment;
Under close guidance of National Human Resources Officer browse portfolio in professional network and social media for the purpose of recruitment of project consultants;
Maintain recruitment channel database;
Under the guidance of National Human Resources Officer prepare draft of job advertisement to be posted in the recruitment channels;
Provide support to cover Front Desk task and Travel Request registration when the incumbents are on leave;
Perform other related duties as assigned.
Required Qualifications and Experience
Education
- Bachelor’s degree in Human Resources, Business Administration, Psychology or related field with one year of relevant professional experience, or,
- Completed High School degree from an accredited academic institution, with three years of relevant professional experience.
Experience
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting;
- Prior experience in talent source/recruitment agent;
Skills
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
- Previous experience in SAP will be an advantage;
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients-oriented;
- Excellent English writing and speaking skills;
- Good analytical skills
- Willingness to learn new things; and,
- Great interpersonal and communication skills;
Languages
Fluency in English and Bahasa Indonesia is required, both written and spoken.
